Project Documentation Manager

Mission

As part of a project team, your responsibilities would include:

Manage project documentation from the start of a project until its completion, including final documentation. Serve as the primary point of contact for inquiries regarding documentation for the Project Manager and customer. Coordinate project documentation deliverables and manage stakeholder/customer exchanges. Act as the main support for project documentation matters, ensuring quality and respecting lead time. Maintain proper information processing within the team. Provide consistent and accurate reporting on the status of documentation to the Project Manager and Team Lead. Check documentation conformity to specifications. Prepare basic KPIs.

Key responsibilities / activities:

During the Selling phase, your tasks would include:
  • Study and analyze the provided project inputs.
  • Calculate the estimated number of hours required for the documentation.
  • Highlight important information related to documentation based on the project inputs, such as penalties related to documentation and special requirements like hard copies or translation.

During the Initiate & Set-up stage, your tasks would include:
  • Study and analyze the provided project inputs.
  • Calculate the estimation of hours required for the documentation.

  • Define guidelines and establish a tracking and follow-up system for project documentation.
  • Set up a process for documentation management.
  • Conduct the first MDR (Master Document Register) for the whole project in coordination with the PM.
  • Provide necessary training on the documentation management process to the project team.
  • Set up a meeting with the customer's documentation manager to identify their requirements and demonstrate our internal documentation management process.
  • Suggest and implement a process for managing documentation for the suppliers.

During the Monitor & Control stage, your tasks would include:

Identify and conduct contractual documentation:
  • Confirm documentation delivery dates (due dates) in cooperation with the Team Leader (TL).
  • Create, control, and follow up on the documentation tracking file GCP OPS - Customer - Site.

Manage the documentation:
  • Publish external documents (for information, execution, validation, etc.).
  • Secure workflow roles for each document, prioritizing the delivery of package documents.
  • Manage remark files (GCP OPS - customer - supplier - site).
  • Identify critical documentation according to the project schedule and importance of Customer deliverables.
  • Innovate new ideas to enhance document progress, communication, and deadlines.

Monitoring and Traceability for the claim:
  • Generate transmission forms for expected contractual documents and provide them to the customer and suppliers.
  • Update the documents plan (deadlines and answers stakeholders).
  • Maintain regular communication with the "core team" on the documentation plan.
  • Provide regular progress reporting in coordination meetings (indicators, dashboards).
  • Ensure repatriation of documents received outside the documentation portal while maintaining their status.
  • Create and update consolidated Key Performance Indicators (KPIs) specific to project needs.
  • Oversee subcontractors' progress, analyze their performance, and ensure adherence to the work plan.
  • Assist in preparing progress reports to be submitted to the customer and our steering committee.
  • Monitor progress during the construction and installation phases.
  • Define and prepare the documents required for final documentation.

During the Integrated Change Control stage, your tasks would include:
  • Provide feedback to the project manager to enable him to update the project resource plan and update the MDR (Master Document Register) according to any time impact change order.

During the Close stage, your tasks would include:
  • Prepare final documentation per customer requirements.
  • Compile documents and prepare hard copies.
  • Send the final documentation to the customer.
  • Assist in securing customer approval for the final documentation.
  • Prepare a lessons learned register from a documentation standpoint.
Education:
  • University Degree

Hard skills required:
  • Minimum 1 year in being part of a project team
  • Experience in working in a plant is a plus
  • Experience in engineering is a plus
  • Good knowledge of the CPP process
  • Experience in any DMS tool is a plus
Soft skills required:
  • English fluency is must
  • Another language will be valuable
  • Didactic, pedagogue (mentoring, coaching): positive approach, willingness to transmit and transfer knowledge
  • Highly organized
  • High attention to detail
  • Problem-solving skills
  • Great communication skills
  • Understanding of projects
  • Comfortable with new integrated digital tools for improved work efficiency
